From One Overwhelmed Agent to an Organized Team: Glowskin's Story

Glowskin is a beauty clinic with three branches in Surabaya. Almost every reservation and initial consultation came through WhatsApp. For more than two years, one person managed that number: Rini, a versatile employee who also worked as the receptionist.


Before Orqestra

Rini faced a situation familiar to service businesses that grow organically: WhatsApp never stopped ringing, the same questions returned all day, and there was no way to separate customers who needed immediate attention from those simply asking about prices.

What Changed

Two months after implementation, Glowskin had clear results.

About 70% of initial interactions were handled automatically, including nearly every pricing and treatment-information question. Rini and her two colleagues could focus on conversations that needed a personal response: reservation confirmation, questions about a customer's skin condition, and post-treatment follow-up.

Average first response time fell from several hours during busy periods to consistently under one minute because the flow replied as soon as a message arrived.

Management gained something just as valuable: usable data. The team could see daily conversation volume, monitor each agent's performance, identify the busiest hours of the week, and adjust schedules accordingly.
