Send Your First WhatsApp Broadcast

Prepare a template, upload recipients from a CSV file, schedule delivery, handle replies, and evaluate your first WhatsApp broadcast.

This tutorial walks through a complete WhatsApp broadcast campaign, from template preparation to performance reporting.


Before You Start

Make sure:

  • At least one WhatsApp channel is connected
  • A message template has an Approved status under Channels > [channel name] > Templates
  • Your recipient list is ready

If you do not have a template, create one from the Templates page. Meta approval usually takes 24-48 hours.


Step 1 — Open Broadcast

Select the WhatsApp channel in the sidebar, open Broadcast, and select Create New Broadcast.


Step 2 — Add Campaign Details

Broadcast Name — An internal reference that recipients cannot see. Use a descriptive name such as Year-End Promotion - Active Customers.

Template — Choose an approved template and review the message preview.

Variables — When a template contains variables, map each one from a CSV column or enter a fixed value shared by every recipient.


Step 3 — Prepare Recipients

Upload a CSV file

The file must contain at least one phone-number column:

phone,name,promo_code
6281234567890,Budi,PROMO10
6282345678901,Siti,PROMO10

The phone column is required and must use international format without the + sign. Add other columns for any template variables.

Open the Upload CSV tab and select the file. Orqestra validates the data and displays the number of valid recipients.

Select existing contacts

If recipients already exist in Orqestra, open Select Contacts and narrow the list with label or tag filters.


Step 4 — Choose the Delivery Time

Select Send Now for immediate delivery, or enable Schedule and choose a date and time.

Mid-morning (9-11) or mid-afternoon (14-16) on a weekday often works well. Avoid sending late at night.


Step 5 — Review and Confirm

The summary shows the campaign name, template, recipient count, and message preview. Check every detail before confirming.

A broadcast cannot be partially canceled after confirmation. Select Confirm to begin.


Step 6 — Monitor Progress

Open the broadcast details page to follow progress in real time. Data refreshes automatically every few seconds.

A broadcast to 500 contacts usually completes within 10-20 minutes.


Handle Replies

Customer replies appear as new conversations in the inbox. Prepare agents or an automated flow for the increase in conversations, especially after a larger campaign.


Evaluate the Results

Review:

  • Read rate (read / delivered) — Indicates the relevance of the content and delivery time
  • Reply rate (replied / delivered) — Indicates how effectively the CTA encourages action
  • Failed messages — A high number may mean the contact list contains inactive numbers
