Broadcasts: Send Messages to Many Contacts

Broadcasts let you send a message to hundreds or thousands of contacts at once. Unlike an ordinary conversation, a broadcast uses an approved WhatsApp template and can be sent outside the 24-hour messaging window.


Message Templates

Every broadcast requires a message template approved by Meta. Templates can include variables such as a recipient's name, order number, or other personalized information.

Create and manage templates under Channels > Templates in Orqestra. After you save a template, Meta reviews it. Approval usually takes 24-48 hours, and its status appears on the same page.

Templates use three categories:

Marketing — Promotions, offers, and new product information initiated by a business.

Utility — Order confirmations, delivery updates, appointment reminders, and account notifications. Content is more restricted, but pricing is lower.

Authentication — OTP and verification codes. This category has the most restricted format and lowest pricing.


Create a Broadcast

  1. Open Broadcast from the channel you want to use
  2. Select Create New Broadcast
  3. Add an internal campaign name
  4. Select a message template
  5. Set template variables manually or map them to contact or CSV columns
  6. Choose the recipients
  7. Select the delivery time
  8. Review and send

Choose Recipients

Upload a CSV — Use this option for larger campaigns. The file must contain an international-format phone number column, such as 6281234567890, plus any columns required by template variables.

Select from Contacts — Search and choose contacts from the database, with optional label or tag filters.

Orqestra validates the list before confirmation and displays the number of valid recipients. Invalid and duplicate phone numbers are skipped.


Schedule Delivery

Send a broadcast immediately or schedule it for a specific time. Consider each recipient's time zone and whether the timing fits the message.

Delivery is gradual and follows the capacity limits of your WhatsApp Business Account. A broadcast to thousands of contacts usually completes in 15-30 minutes, depending on volume.


Monitor Results

Each broadcast includes a real-time report:

Common causes of failure include an inactive WhatsApp number, a recipient blocking the business number, or an exceeded capacity limit. Download the report for further analysis.


Handle Broadcast Replies

When a customer replies, Orqestra opens a conversation in the inbox. Before sending a large campaign, prepare an automated flow or ensure enough agents are available for the increase in replies.


Recommended Practices

Send messages only to people who have interacted with your business or explicitly agreed to hear from you. Relevant messages are less likely to be reported as spam, protecting the quality rating of your WhatsApp Business number.

Test a new template with a small audience before sending it to the full list.
